Organizers of Argonne conferences are responsible for obtaining written permission from non-Argonne presenters to reproduce their presentations – or photographs or recordings of the presentations.

Ask each non-Argonne author who contributes a manuscript, abstract, summary, or other material to a conference proceedings produced by Argonne to complete a Guest Contributor's Publication Release (ANL-580). A signed ANL-580 allows Argonne to reproduce and distribute the author’s contribution. The best time to get the required releases is before the conference or during the registration period at the conference. You may wish to send a blank ANL-580 to contributors with the initial packet of conference information. Submit the completed forms to the Publications Clearance Office when the proceedings is submitted for clearance.

If the proceedings is going to be published by an association or a scientific publisher who will hold copyright, the ANL-580 is not required. Typically this would involve negotiations between Argonne's Procurement Office and the publisher.

Ask each non-Argonne speaker to sign a Guest Speaker Release (ANL-582) granting Argonne the right to use, distribute, and sell their photographs and recordings of their presentations. Submit the release form to the Publications Clearance Office if and when the Laboratory receives an outside request for it.
